This Privacy Policy describes how we store and use your personal information. We are committed to ensuring the privacy of our guests and users of our website.

The information we collect

We collect personal information from you through your communications with Courtyard Cottages. This includes when you contact us online, either through Trip Advisor, our booking platform Super Control, contact form on the website and any e-mails that you send us. We will also collect information pertinent to your booking, when you call to make an enquiry. (Name, address, telephone number, number of guests, children, pets, dates of stay, preferred accommodation and additional requirements such as high chair, cot)

Our website uses the Google Analytics cookie to track your use of the website in order that we may improve the overall user experience. No personal information is automatically collected or stored by our website.

What we do with your information

We use the personal information that you provide us with to answer your enquiries and to secure your bookings.

We may need to contact you by telephone or e-mail, with your permission, if we have a query regarding a booking or information you need before your arrive.

Who we share information with

We will not share any information we store about you with any third party.

Compliance with law

We will release personal information where we are required to by law or by the regulations and other rules (including auditing requirements) to which we are subject.

Your rights

You have the right to ask for a copy of the information held by us in our records. You also have the right to ask us to correct any inaccuracies in your information.

Online Bookings

Please note, all bookings made through our online booking system are provisional until confirmed by us.


Booking Deposit

We ask for a non refundable  £100 deposit per cottage per booking . This is payable upon reservation, with the balance due 42 days before you arrive.

Payment of Balance

The outstanding balance is payable 42 days before your stay commences. We offer the following three payment options which will also be advised to you in your booking confirmation.

  1. Payment by direct bank transfer (preferred) – bank account details will be included in the booking confirmation.
  2. Payment by cheque (made payable to Courtyard Cottages).
  3. Payment by credit/debit card through the Supercontrol/HolidayRentPayment booking system (link in booking confirmation).

Arrival & Departure

All our cottages are ready for guests from 4pm and departure is any time before 10am.

Breakages

We’d greatly appreciate it if you could let us know if anything is broken – really so we can ensure it is either replaced or repaired for the rest of your stay and for future guests.

Cleaning

Each cottage is cleaned and beds made up for your arrival. We ask that when you leave, you leave it looking neat and tidy.  Please place used linen and towels in the large tote bags provided in the laundry room.

All bed linen and towels will be supplied, including pillows and duvets.

(you may wish to bring extra towels if planning to use the pool)

Dogs

Please let us know in advance if you are bringing any four legged friends.  Whilst well behaved dogs are very welcome, we ask they be kept on a lead at all times when in and around the courtyard.  This is to protect our livestock, some of whom can be found wandering freely around the site.  Dogs are not permitted on beds or sofas.  Please note, we also request, due to noise and damage, that dogs are not left unattended in the cottage. Any damage your dog causes will be chargeable.

Fuel and Logs

We supply a complementary bag of logs for each cottage.  Additional logs can be purchased at the farmhouse. 

Facilities


PLEASE NOTE: FROM 2022, THE POOL WILL CLOSE AT THE END OF SEPTEMBER
The swimming pool is open from the beginning of April to end of September (closed Fridays). Please note, the owners reserve the right to book the pool for their own use. It is not available at other times of the year. We reserve the right to withdraw usage and/or close the facility at any time. The pool is bookable in timed, individual family slots (1hr a day per cottage), using a blackboard in the courtyard.

Please note, the pool is also hired out privately 

Anything with firm/sharp edges, are not allowed in the pool eg: snorkels, flippers, oars etc. Inflatables that contain glitter, are also not allowed.


The applicant agrees that all members of his party will abide by the conditions of pool usage that the owners have in place at the time of their stay to meet health and safety requirements and understands that non-observance of these rules will lead to withdrawal of this facility for the whole party for the duration of their stay without compensation. The use of any amenities provided by the owners is entirely at the users risk and no responsibility can be accepted for any injuries to persons or loss or damage to any belongings of persons who use them. The Owners will not be liable for any accident, damage, loss, injury however caused.

Parents or guardians (ie those listed as over 18 on the booking form) are responsible at all times for their children and are therefore expected to supervise them at all times, whether in their accommodation, using the pool, games room or outside play facilities. Where children under 18 are invited to take part in any animal feeding or handling, this activity is provided only on the basis that they are accompanied by a responsible adult, as for legal and insurance purposes the owners cannot provide supervision.

 

Group Bookings

Please bear in mind, if booking the whole place, the maximum we can sleep is 20 (not including infants), this number must not be exceeded!

The numbers per cottage must also be adhered to: Rose 7 (including small put-up bed), Stables 4 (one of which is a top bunk so only suitable for children), Granary (same as Stables), Garden 3, Barn 2 (no children).

Each cottage is allocated an hour a day in the pool, so if taking the whole place, you would have 5 hours a day. The rest of the time it is hired out privately. You will get a mix of morning/early afternoon or late afternoon/evening slots.

Any parties held outside in the courtyard have a curfew time of 12 midnight, but you may continue inside your cottage till your hearts content!

Extra visitors on-site are by prior arrangement only.

Cancellation Policy

Covid 19 Refund Promise

 If you are unable to travel to take your holiday because of a national lockdown, or because you are put into a Tier/level where you are unable to travel, or we are put into a Tier/level where we are unable to accept you, in the first instance, you will be offered all monies already paid, to be carried forward to a future stay. Should this be unsuitable, you will be offered a full refund.


 The Covid 19 refund promise covers lockdowns and Tier restrictions, but does NOT cover you (or members of your party) for being unable to travel because you (or a member of your party) fall ill with Covid 19, or are required to quarantine or self-isolate.    You can cover yourself against these events by taking out personal travel insurance.  There are now a number of policies online that include cover for illness with Covid 19 and self-isolation.

Please note: Our Covid 19 Refund Promise will only cover the name, address and postcode used to place the booking. (This may be applicable if there were to be more than 1 household holidaying together in the same cottage.)
Should you wish to book more than 1 cottage, we will need a lead name for each.



The use of facilities (pool, games barn etc) may be subject to change per government guidance in force at the date of your holiday.
 No cancellation is possible, or refunds available, if advertised facilities are not available, or any other aspect of your holiday is not as expected, due to necessary Covid 19 precautionary measures.

 

What to do if you fall ill with Covid 19 symptoms during your stay
If you develop COVID 19 symptoms during your visit, please do not ignore or try to hide them. It is important that you act quickly to help yourself and protect those around you. It is your responsibility to stay safe and to keep others safe. 
 

If you feel unwell and experience COVID 19 symptoms you must:
Notify your accommodation provider
Stay indoors and self-isolate (anyone else sharing your accommodation must also self-isolate)
Arrange a test
If you feel well enough to travel and do not need to use public transport, you should return home as quickly as possible.
If you feel so unwell that you cannot travel or cannot avoid using public transport, you should continue to isolate and call 111 for further advice. In the event of a medical emergency, call 999.
If you are unable to travel home and your stay is extended, you will be expected to pay all extra costs to your accommodation provider. This includes any future bookings which will need to be cancelled for that property and any other accommodation/shared facilities which will need to close should you test positive.

 

 

 

 
All other cancellations

The initial £100 deposit which you pay on reservation is non-refundable. Should you have to cancel your holiday within 42 days of arrival (whether you have paid your final balance or not) you would lose your balance. 
If however, we are able to re-let your dates, we will refund your balance (or part of, depending on what we re-let the dates for). If we are unable to re-let, you remain responsible for the full rental cost, and no re-fund will be given.  

If we (Courtyard Cottages) have to cancel your holiday, in the first instance, you will be offered all monies already paid, to be carried forward to a future stay. Should this be unsuitable, you will be offered a full refund.



Cancellation insurance is not compulsory, however, we strongly recommend insurance
